Creating the Quote

When a customer expresses interest in purchasing a product or service, the initial step in the sales process is to provide them with a quote. A quote provides the customer with a detailed breakdown of their request, including the price and any additional information they need to make an informed decision. This step is crucial since it allows the customer to review and approve the quote before the order is finalized and considered sold. By providing a quote, you can ensure that all customer requirements are met and that there are no unexpected issues when the final order is delivered.

Creating a quote also benefits the seller. You have the opportunity to showcase your product or service, and it enables you to offer alternatives or suggestions to the customer. A well-constructed quote can also establish credibility and professionalism, potentially leading to repeat business or referrals.

It is important to note that the quote stage is not a binding agreement but rather a formal offer that outlines the terms and conditions of the purchase. Therefore, any changes to the quote must be communicated to the customer and agreed upon before proceeding with the final order. By providing accurate and detailed quotes, you can ensure that both parties have a clear understanding of the transaction's terms and conditions, resulting in a smooth sales process.

  1. Click the green Quick Start button at the top left of your screen to start any new forms like quotes, sales orders, invoices, customers and contacts. From here you will choose New Quote. If your customer has already approved pricing and is ready to place the order, you might consider starting with a New Sales Order instead.
  2. From the New Quote dialogue box, select Customer, and all the required fields, click "Save & Add First Line"
  3. Click the Add New Item button to get started. You can choose from our base products or write in a custom one if you like.
  4. Once you have selected your product, you have the ability to rename the product to be more specific. Fill out the remaining fields and a price will be generated. Click Save This Line Item when you are done.

  1. Deliver the Quote! - You can now email or print out the Quote to deliver to the customer. If you need to add additional Line items, just repeat the steps above to add them.

Delivering the Quote

Once you have added all the items that the customer has asked for, you can now print out a PDF and deliver it to them in person or email the Quote directly from shopVOX.

To email: Click on the Email PDF button at the top of the transaction page.

  1. Select the recipient or click the green plus sign to add a new contact.
  2. Option: you can cc someone else in the account
  3. Select a pre-made email template or just start filling out the subject and body as you would on your email platform.
