Database Migration Support for shopVOX - Legacy data

Migrating customer data to shopVOX can streamline your transition and help you retain valuable information. We offer migration services for customer databases from systems like QuickBooks (Desktop & Online), CasPER, ActivityPOS, Corebridge, and Cyrious. We can also transfer transaction history as text files for future reference. For other platforms, we may need to review the data file to confirm compatibility. Please note that this is an optional, fee-based service.

Supported Data Transfers

  • Customers: Addresses, contacts, contact information, and tax settings.
  • Invoice History: Read-only record of past invoices and transaction details.
  • Products: Existing items with pricing details.

Steps to Submit Your Database for Migration

  1. Submit the POS file: Send the file containing customer and legacy data to laxmi@techvoxinc.com via Dropbox.
  2. Processing Time: It typically takes 3-5 business days to complete the migration and load your data into your shopVOX account.
  3. System Transition: After file submission, begin entering all new transactions in shopVOX and discontinue using your previous system for new entries.
  4. Training: If you haven't already, please schedule a training session with one of our support specialists.
  5. Work in Process (WIP): If you choose not to transfer existing orders or WIP, you may run both systems until your old WIP is completed.

Viewing Legacy Transactions in shopVOX

Once migrated, legacy transaction history can be accessed via the Legacy tab on the Customer page.

Here, you can view details of previous transactions, which are available as read-only data points.

This allows you to reference legacy transactions easily and copy essential information into new, live transactions as needed.

Platform-Specific File Requirements

Activity

  • Required Files: .bak file for general migration, with the following files for Customers and Vendors:
    • Customer.xls, sales_rep_mapping.xls, CustContacts.xls, IndustryTypes.xls, Origins.xls, Terms.xls, TaxClasses.xls, APVendors.xls
  • Files for Legacy Data: InvDetail, InvHead, Transactions

CasPER

  • Desktop: .mdb file
  • Cloud: .mdb file (Follow steps to locate in Casper Cloud’s setup menu)
  • Customers and Vendors Files: tblArCust.xls, tblQcsSOContactNames.xls, tblQcsSOContactsList.xls, sales_rep_mapping.xls
  • Legacy Data Files: tblQCSTransDetail, tblQcsTransHeader, tblQcsTransInvoice, tblQcsUpSellTrans, tblQcsXXOutsource, tblQcsxxDigital, tblQcsxxEZOutsource

Corebridge

  • Required Files: Contact Corebridge for a backup file in .bak, .mdf, or .ldf format.
  • Migrated Data: Customer contact list, quote history, and invoice history.

Cyrious

  • Customers and Vendors Files: dbo_Account.xls, sales_rep_mapping.xls, dbo_Address.xls, dbo_PaymentTerms.xls, dbo_AccountContact.xls, dbo_MarketingListItem.xls
  • Legacy Data Files: TransDetail, TransDetailParam, TransPart, TransHeader

QuickBooks

  • Note: QuickBooks Enterprise cannot be migrated. Downgrade to QuickBooks Pro for migration.
  • Required Files: Export the customer list from QuickBooks Desktop in Excel format, and if migrating invoices, include the .Qbb or .Qbw file with admin credentials.
  • Customers and Vendors Files: customers.xls, sales_rep_mapping.xls
  • Legacy Data Files: qbInvoices

Additional Instructions

  • When submitting files, please ensure that they are unaltered from their original export format.
