In optimizing the interaction between Sales representatives and customers, our online Proofing system emerges as an invaluable tool within the shopVOX platform. A noteworthy enhancement to the Proof Approval workflow involves the capability to attach an existing Customer Approved design to a new Sales Order. This feature not only accelerates the approval process but also minimizes the time spent searching for and attaching approved documents.

How to Copy a Proof from one Sales order to another

  1. Here is an example job stemming from a Sales Order that includes an approved Proof. The goal is to copy this proof into another order.
  2. Create a new Sales Order
  3. Go to the Sales Order from which you want to copy to proof from, and click "copy line item"
  4. From the "Copy Line Item Screen" select the new Sales Order from the Copy to Drop down menu, click "Copy Item"
  5. The Item will now appear in the new Sales Order
  6. Click "Create Job". Setup your Workflow and Due Date information, and click "Save & Show Job"
  7. From the Show Job Screen, click " Add Proof "
  8. Click on "Find & Copy Proofs"
  9. You can search through the list, to find the proof you are looking for.
  10. Select the file your looking for, and click "Save Proof"

You will now see the copied proof in your New Sales Order, on your new line item number. From here you can send for customer approval, or approve internally.

The procedure is designed to be user-friendly and efficient. Sales reps or internal stakeholders can effortlessly select and approve the Proof, either internally or by forwarding it to the customer for confirmation. This streamlined approach eliminates the need to locate, download, and manually attach the approved document, leading to a considerable time-saving advantage.
