How to Filter MFA Email Alerts in Outlook and Gmail

When using Multi-Factor Authentication (MFA) in shopVOX, you may receive email alerts from noreply@shopvox.com with the subject line "A new device is using your account." While these alerts are an essential security feature, they can become repetitive if you frequently log in from different devices. Setting up email rules in Outlook or Gmail can help organize these notifications by moving them to a dedicated folder. This guide will show you how to create a folder and filter these emails effectively.

In Outlook

  1. Create a Folder:
    • Open Outlook.
    • Right-click on your inbox or another folder where you want to create the new folder.
    • Select New Folder.
    • Name the folder, for example, "MFA Notifications" or "shopVOX Alerts."
  2. Create a Rule to Filter Emails:
    • Click on the Settings tab in the top-right corner.
    • Select Rules
    • In the Rules click + New Rule.
    • Name: shopVOX Alerts
    • From: noreply@shopvox.com.
    • Subject Line Includes: "A new device is using your account."
    • Move to: shopVOX Alerts
    • Uncheck: Stop processing more rules
    • Check: Run rule now
    • Save.
  3. Test the Rule:
    • Send a test email or wait for the next notification to confirm it is correctly moved to the designated folder.

In Gmail

  1. Create a Label:
    • Open Gmail.
    • On the left sidebar, scroll down and click Labels +> Create new label.
    • Name the label, such as "MFA Notifications" or "shopVOX Alerts," and click Create.
  2. Create a Filter to Organize Emails:
    • In the search bar at the top, click the Show search options icon (a small triangle).
    • In the From field, type noreply@shopvox.com.
    • In the Subject field, type "A new device is using your account."
    • Click Create filter.
    • Check the box for Skip the Inbox (Archive it) and Apply the label, then choose the label you created earlier.
    • Click Create filter to save the settings.
  3. Test the Filter:
    • Wait for the next email notification or send a test email to verify that emails are filtered and labeled correctly.
