Manage User Permissions with Roles.

To enhance security and customize user experiences, shopVOX provides the ability to assign specific Roles to each user. By assigning Roles, you gain control over user permissions and internal controls within the system.

Here's how it works:

1. Assign Roles: Every user in your shopVOX account will be assigned a specific Role. A Role defines a set of permissions and access levels for the user.

2. Set Permissions: Within each Role, you have the flexibility to establish granular permissions and controls. This ensures that users only have access to the features and information that are relevant to their responsibilities.

3. Enhance Account Security: By utilizing Roles, you can strengthen the overall security of your shopVOX account. Limiting access based on Roles minimizes the risk of unauthorized actions or data breaches.

4. Tailor User Experiences: Each user's experience can be tailored according to their assigned Role. By providing appropriate permissions, users can efficiently perform their tasks without unnecessary distractions or access to irrelevant functionalities.

Understanding the Functionality of Roles

In shopVOX, assigning Roles to new users is a crucial step in their setup process. To assist you, we have included a selection of default Roles in your account that you can utilize as a starting point. It's important to note that each user should be assigned only one Role to ensure that the assigned permissions do not conflict with those of other Roles.

Here's how Roles work effectively:

1. Role Assignment: When adding a new user to shopVOX, you have the responsibility to assign them a specific Role. This Role determines their access level and permissions within the system.

2. Default Roles: To facilitate the setup process, we have provided predefined Roles within your account. These predefined Roles can be utilized initially, and then further customized as per your specific requirements.

3. Singular Role Assignment: It is essential to assign only one Role to each user. By doing so, you ensure that the permissions associated with that Role do not clash with those of other Roles, maintaining clarity and preventing any potential conflicts.

By comprehending how Roles function in shopVOX, you can effectively assign appropriate Roles to users, guaranteeing seamless access and permissions while avoiding any conflicting settings.

These are the built-in default roles:

  • CSR - specifically for Customer Service Reps
  • Sales – for all Sales Reps
  • Designer – for your design staff
  • Production – for your production staff that don’t need to access anything but Jobs
  • Super User – full and complete access – for owners and managers who need to see and change everything

How to Add a New Role

  1. Click on the Settings Icon, then click Team
  2. Then choose Roles
  3. Click on the green Add New Role button, or click on one of the existing roles to open the role settings and make changes

  1. From here, you can name the Role. You can create a special role for a specific person on your team if that person wears multiple hats and needs access to shopVOX, which might be different from the rest of your team. For example - you can name a role "Operations" or more specifically "Tom - Operations Manager".
  2. Then you will decide which areas of shopVOX will be visible, hidden, enabled or disabled, or editable to this specific role.
  3. You'll notice many permissions to set that are categorized into sections. Go through these sections and customize the role permissions:
  • Transactions
  • Quotes
  • Sales Orders
  • Invoices
  • Payments
  • Credit Memos
  • Refunds
  • Jobs
  • Customers
  • Contacts
  • General
